Update on Kuali Financial System (KFS) Implementation at IU
Indiana University has officially kicked off the implementation project of the Kuali Financial System (KFS). KFS will replace the FIS and EPIC systems, providing a comprehensive suite of functionality that will serve all of Indiana University’s financial business needs. The Kuali project started over four years ago as a community source initiative. KFS is a rewrite of Indiana University’s FIS and EPIC systems using newer technology. Nine institutions in total have participated in the rewrite of the system which will be implemented across the country at other institutions of higher education, including in the next year full implementations by Colorado State University and the University of Arizona.
KFS will bring change in structure, look, and feel to IU’s financial systems, involving the need for major testing of all functionalities and components, data conversion from the existing systems, and many decisions to be made to ensure that the KFS has all of the functionality to which IU users are accustomed and which the university’s policies and practices require departments to have.
IU KFS Steering Committee
An IU KFS Steering Committee has been formed and will serve the role of providing input on some functionality and priorities, and serving as a communication engine for information back to the campuses, schools, and departments. The first IU KFS Steering Committee meeting was held on April 30, 2009. This initial meeting included a review of the history of the Kuali project, a short demo, a review of the roles and responsibilities of the committee, and a review of current issues that the project is dealing with. The latter issues included discussions on the proposed implementation timeline, fit-gap analysis, conversion data issues between FIS/EPIC to KFS, and a communication plan.

KFS Steering Committee meetings will initially be held every 8 weeks.
FMS, UBO and University Purchasing would all like to extend our appreciate to Camy Harrison, Associate VC for Finance, IUPUI, and Jim Donges, Associate Vice Provost, Bloomington, for agreeing to serve as co-chairs of the KFS Steering Committee.
In addition to the Steering Committee, an Executive Committee of the Steering Committee will be formed. The members are Kathleen McNeely, Lorelei Meeker, Steve Keucher, Jim Donges, Camy Harrison, Jim Thomas, and Barry Walsh. The Executive Committee’s role will be to finalize agendas for the Steering Committee and deal with ongoing decisions that need to be made in a timely basis.
Project Managers
Harriet Fierman will serve as the functional project manager for the FIS to KFS conversion. Marilyn Kisters will serve the same role for the EPIC to KFS conversion. The UITS lead for the project is Ailish Byrne.
Proposed Timeline for IU KFS
February 2009: Five core Labor Ledger and General Ledger batch processes were replaced with retrofitted KFS release 3.0 versions (FMS central processing; no end-user impact.)
November 2009: The FIS ID billing and batch enterprise feed, as well as the FIS General Ledger and Labor Ledger Correction Process documents, will be replaced with KFS versions (FMS central processing; no end-user impact).
January 2011: All remaining FIS user interfaces will be replaced with KFS; all FIS users will begin using KFS.
November 2011: KFS Purchasing and Accounts Payable will replace EPIC and PDP processes for all users.
