Accounts Payable

Uploading Disbursement Voucher and Procurement Card Documentation

Beginning June 14, 2010 departments have had two options for submitting Disbursement Voucher (DV) supporting paperwork and Procurement Card statements and receipts for audit. Paperwork can be submitted as
  1. a PDF file upload via the upload tool at this FMS AP webpage https://fdrs.fms.indiana.edu/cgi-bin/ap_uploader/ap_uploader/main_menu.html or as
  2. a paper submission to Indiana University AP, 400 E 7th Street, Poplars 016, Bloomington IN 47405-3005. The choice of delivery is the department’s choice.

Here is the link to important details for using the upload tool and supporting paperwork for DVs and P-cards.

Upcoming Payroll Dates to Note:

May 1, 2011: 10-Month Student Academic paydate
May 8 - August 13, 2011: Summer dates for Work Study


Accounts Receivable, Auxiliary Accounting, Capital Assets, and Student Loan Administration

FY2011 Q3 Variance Analysis Dates:

  • Wednesday, April 20th: All auxiliary vouchers are complete, unless an earlier date was specified by your campus.
  • Friday, April 29th: Send completed analysis and reports to fmsaux@indiana.edu. Organizations at IUB and IUPUI should copy your campus administrators.
  • Friday, May 6th: Follow-up questions sent from Auxiliary Accounting to organizations.
  • Friday, May 13th: Answers to follow-up questions due to fmsaux@indiana.edu.

Updated Reports Per User Request

Recently, Auxiliary Accounting has deleted all old versions of the Statement of Cash Flows in IUIE. Going forward, the new report that we have worked to create will be the sole Statement of Cash Flows available to use. Any old links that you may have bookmarked will be broken.

We have updated the Forecast and the Rolling Months reports after receiving feedback from users. As a result, the next few weeks will be your opportunity to do any final testing and provide feedback to us regarding these reports before the old versions are also retired. The old versions will be deleted no later than June 30, 2011.

The new reports can be found at the following locations:

  • Statement of Cash Flows – IUIE under Master Catalog/Financial/Auxiliary/Financial Reports/Statement of Cash Flows.
  • Forecast Report - IUIE under Master Catalog/Financial/Auxiliary/Financial Reports/Forecast Report.
  • Rolling Months Report - IUIE under Master Catalog/Financial/Auxiliary/Financial Reports/Rolling Months Report (NEW).

Kuali People Management for the Enterprise (KPME)

In 2008, Indiana University and other institutions began exploring the requirements of an enterprise human resources and payroll system. This requirements gathering started as a result of several schools expressing a desire to replace their current systems for a variety of reasons. For example, many vended systems don’t provide functionality specific to higher education and home-grown systems are increasingly unsustainable. Furthermore, expectations are growing for systems that are more usable for end users, are able to accommodate administrative, regulatory, and policy changes, and provide functionality required by higher education.

As a result of this project, Kuali People Management for the Enterprise (KPME) was launched. The project was developed in two phases which enables schools to implement pieces of a human resources and payroll system prior to the completion of the project. Indiana University is pleased to have joined Phase 1 of KPME.

Phase 1 Includes:

  • Time and Attendance
  • Leave Management
  • Electronic Core HR Transactions including:
    • Personnel transactions
    • Position management transactions
    • Employee activities and demographic data
Phase 2 Includes:
  • Payroll and Financial Processing
  • Benefits Administration
Future Phases Include:
  • Self-service functionality
  • Cobra administration
  • Other needs as identified

Kuali Implementation of Financials and Research Administration

IU Kuali Website
A new website has been created to communicate the Kuali project to the university community, http://kuali.iu.edu/.This site has information about the two initial Kuali products, Kuali Financial System (KFS) and Kuali Coeus Research Administration (KC), currently scheduled to be implemented at IU over the next 2 years.

Interested IU faculty and staff can visit the website to find details of the IU Kuali implementations, as well as links to the overall Kuali project and related news. In addition to descriptions of the organizations, deliverables, governance, and the project timelines, there will be links to documentation, and training. A glossary is provided, as well as Frequently Asked Questions and a form for feedback.

FMS Staff Changes this Spring

AVP-FMS:

  • Kathleen McNeely, Associate Vice President and Executive Director, will be leaving IU after 29 years, having accepted the position of Vice President of Administration and Chief Financial Officer for the National Collegiate Athletic Association (NCAA). Her last day at IU will be April 29th.
Accounting:
  • Joan Hagen, has been named the Associate Vice President and University Budget Director after more than 10 years as IU's Chief Accountant.

    Replacing Joan is Dave Gooptu from Accenture, a consulting firm. Dave has an MA and BA in Economics from the University of Calcutta, India, an MBA in Finance and Accounting from the University of Chicago, and a Certificate in Advanced Accounting from the University of Southern California. Dave is a certified public accountant and currently resides in Chicago. He will join the FMS staff on April 4th.

Accounts Payable:
  • Janette Bruner has been named Team Lead of the RIRT Team.
  • Brandy Gruner has been promoted to the position of Processing and Research Specialist.
  • Chivas Williams is the new Professional Technical Operations (1/2 time hourly) employee. He is a graduate of the Computer Information Systems program at Arizona State University, and recently moved back to Bloomington. Williams replaces Rahul Kavuri.
  • Leann DeBruicker has been promoted to the position of Invoice and Disbursement Voucher Processor. Leann formerly processed invoices on the Hourly Team.
  • Joining the AP hourly team in processing invoices is Jill Pierce, Christina Green, and Jenny Moore. Pierce is an experienced bookkeeper and loves Accounts Payable work. Green and Moore begin their AP work in April 2011.
Operations:
  • Christine Ray, from the FMS System Administration and Development group, accepted a new position as System Analyst/Programmer with the Office of Research Administration (ORA).
