FIS Document Super Approval
If a user in the FIS routing chain is unavailable to approve a time sensitive document, that document may be eligible for "super approval." This process bypasses the routing chain and sends the document directly into Approved status.
In order for a document to be “super approved,” there must be exposure to significant repercussions for the university. Examples might be legal, reputational, or personal implications for the recipient of the funds. FMS does realize that unusual circumstances arise so special requests will be considered.
Requests for super approval must be in writing and include a description of why the approval is needed and what the ramifications are if it is not approved in the timeframe the unit is requesting.
- On the Bloomington campus these requests should be directed to Rozzie Gerstman at gerstma@indiana.edu.
- On the Indianapolis campus, these requests should be directed to Charlie Miller at chmiller@iupui.edu.
- Other campuses should direct these requests to Mary Byrde at mbyrde@indiana.edu .
Submission of a request does not guarantee super approval will occur. The unit making the requests will be notified of the decision.
Alternatives to Requesting a Super Approval
Primary Delegate is unable to approve a document:
Fiscal Officers can use the “Alt” button in the FIS inbox to approve a document out of their primary delegate’s inbox.
Fiscal Officer is unable to approve a document that was routed prior to setting up a secondary delegate:
Secondary approval delegation takes effect immediately. Secondary approvers can approve a document in the Fiscal Officer’s box immediately, even on documents that were routed prior to the delegation being setup.
PCDO is sitting in the primary delegate’s inbox:
PCDOs do not work like “routed” documents. They are more like a document “saved” in the inbox. Therefore, nobody can use the “Alt” button to approve a PCDO from another person’s inbox. PCDOs cannot be cancelled either. The only option for a “stuck” PCDO is to request a super approval from FMS.
