Navigating to Reports in the IUIE (Indiana University Information Environment)
The IUIE is the decision support environment for university systems
including the FIS, which is the repository for the university’s financial
and chart of accounts data as it through
OneStart. The IUIE provides access to virtually any data that exists in the FIS as well as other university systems.

When you log into OneStart, the Central Authentication Service screen appears.
Your username and passphrase must be entered, then click the login button.

Next you should see the OneStart environment.
Click on the Services tab.
At the left you will now see Administrative Systems.

Click on the Administrative Systems link and scroll down until you see the IUIE dashboard.
Click on the Access the IUIE link as shown to access the system.

You should now see the IUIE welcome page where you will login by clicking on the IU Login button.

This takes you into the IUIE environment's home page where you click on the Catalog tab.

From the Catalog page you can access your report folders two ways. If you are not familiar with the file you wish to access, click on the Master Catalog link. as shown.

To the left of the main text on Master Catalog you see a series of folders which you can choose. Click on the folder you wish to access. Generally, the reports used by Auxiliary Accounting are in the “Financial” group.

Selecting the “Financial” folder presents a list of financial reports, one of which is “Auxiliary.” Selecting the “Auxiliary” folder then presents the various types of auxiliary reports available in the IUIE, as illustrated here. If, for example, a balance sheet is required, select “Balance Sheet Reports” to display the various types of balance sheets available to the user. Once the report is selected, the appropriate parameters can be entered to generate the report. A colleague will provide the new consultant with detailed training on the use of auxiliary reports in the IUIE.
A second method of accessing folders is to locate the Master Catalog look up search feature. Type in the folder name you wish to access, for example "financial" as shown above. Click on the Search button and you will get a Search Master Catalog Results pop-up window such as the example below. Click on the report you are seeking, in this case "Financial."

Glossary of Terms
Some reports the new consultant should quickly become familiar with are as follows:
Balance Sheet – A report for a selected period, which lists assets, liabilities, and fund balance; the Balance Sheet adheres to the fundamental accounting principle of Assets = Liabilities + Fund Balance.

Balance Sheet-Comparison to Prior Year – A report of assets, liabilities, and fund balance compared to the same period of the prior year and to the beginning balance of the fiscal year with calculated change and percentage change.
Location: Financial/Auxiliary/Balance Sheet Reports/Balance Sheet – Comparison to Prior Year
Balance Sheet-Executive Summary – A report of assets, liabilities and fund balance consolidated at object level and compared to the same period of the prior year and to the beginning balance of the fiscal year with calculated change and percentage change.

Income Statement – A report that measures how an organization or account did during a selected period. This report calculates a net margin or loss; a) if total income is greater than total expenses then you have a Contribution (Net) Margin, or b) if total expense is greater than total income then you have a Contribution (Net) Loss.

Income Statement-Comparison to Prior Year – A detailed income statement comparing actual income and expense to prior year income and expense for the same fiscal period and year-to-period.

Income Statement-Executive Summary – A detailed income statement comparing actual income and expense to budgeted income and expense for a selected fiscal period, and year-to-period income and expense to year-to-period budgeted income and expense for the same period. Also compares actual income and expense to prior year income and expense for a selected fiscal period, and year-to-period income and expense to year-to-period prior year income and expense for the same period.

Quarterly Income Statement – Presents an income statement comparing actual transactions to prior year, and comparing actual transactions to budget. Also presents quarter to date and year to date balances.

Monthly Operating Statement (MOS) – Provides a monthly and year-to-date summary for an individual account. Budget, actual, and encumbrance information is included by object code.
Location: Financial/General Ledger/1st Day Standard Reports/Monthly Operating Statement
Monthly Operating Detail (MOD) – A listing of general ledger transactions for a given account during a given month. Transaction object code, document number, description, and amount are included on this report. This report provides the detail behind the figures on the MOS. The following reports are utilized less often; however, new consultants should familiarize themselves with these as well.
Balance Sheet Exception Report – A report of an account or organization for a selected period, which lists any negative assets, liabilities or fund balance amounts.

Income Statement-Object Level – A report that presents an income statement comparing actual transactions to budget and to prior year transactions. The data is presented by object level with an option to show object code detail.

User Defined Report – A report that allows the user to define five columns to present in an income statement. These could be annual, per quarter, or any subset. There is also an option in the last three to calculate a variance between any other two columns as an amount or a percentage.

Forecast Report – A report that takes actual income and expense through a selected period and the budgeted income and expense for the rest of a year to forecast the outcome for a given year; a useful tool for budget time.

Ratio Analysis – Calculates financial ratios relevant to financial analysis of an entity.
Location: Financial/Auxiliary/Quarterly Analysis/Ratio Analysis
Rolling Months Report – Presents actual, budget, and prior statements for a user-defined number of fiscal periods. The user also selects the beginning fiscal year and period.

PDQ Generator – This one is important. It is used to run reports for the quarterly variance analysis. It allows the user to run several other reports including the four income statements, three balance sheets, and one statement of cash flows. The result of these reports is concatenated into one file.

Asset Reconciliation - A report that can be used to reconcile capital asset depreciation expense to a balance sheet.

Income/Expense Executive Summary – Presents an executive summary of account balances by object codes.
